Primary Health Medical Group is seeking qualified Electronic Health Records (EHR) Manager applicants for a full time position located at our Administrative Office in Garden City. The Electronic Health Records (EHR) Manager coordinates the EHR staff and all activities of eClinicalWorks software operations.

Job Purpose:
This position manages and coordinates the EHR staff and all activities of eCW software operations to include: End user support, EHR training, projects; from readiness assessment and planning through vendor selection to completion and implementation of new modules and add-on software. The EHR Manager also may have responsibility for managing eCW maintenance fo key application and database servers, security and ongoing version upgrades and patches. The EHR Manager ensures documents that the data information contained within the EHR structure is not changed, compromised or removed. The EHR Manager acts as the safety manager by identifying and communicating patient safety issues as they relate to the maintenance or correction of information contained within the EHR data and application.

Training Responsibilities:
This position is responsible for the training of clinical information systems that assist clinicians and staff in the delivery of patient care. The EHR trainer coordinates all EHR training for providers. The EHR trainer coordinates with medical, front office, leadership, administrative and billing staff trainers to ensure consistency in training content, format, materials and scheduling of all EHR training. This includes training of new hires, update/upgrade training and targeted training based on reviews of needs for both individuals and the company overall. The EHR Manager works closely with PHMG departments and vendors to ensure high quality training is delivered in each department consistent withy business needs. The EHR Manager serves as an advocate of management in promoting the use of information technology within the clinical setting.

*The terms "EHR" (Electronic Health Records) and eCW (eClinicalWorks- the name of PHMG's current EHR) are interchangeable in this job description.

Job Responsibilities:

  • Recruits, selects, orients, trains and oversees employees.
  • Communicates job expectations; plans, monitors and appraises job performance; coaches, counsels and disciplines employees; develops, coordinates and enforces systems, policies, procedures and productivity standards.
  • Researches and evaluates new features and processes in eCW with a focus on business needs, improved efficiencies, increased productivity, and strategic goals set by senior management.
  • Coordinates eCW upgrade planning and testing. Assesses and tests software capabilities and assists with answering questions and providing documentation to work groups and testing teams.
  • Works with the Population Health and other Operations teams on community networks and projects that interact with eCW (IHDE, MU, IMMS, etc.).
  • Supports established work processes through identifying needs, recommending system supported functionality and coordinates implementation.
  • Participates in work groups where in-depth knowledge of the EHR and its capabilities are needed.
  • Collaborates with other EHR personnel in the community and with other practices using eCW to maintain a knowledge sharing and testing network.
  • Coordinates with the vendor to develop an implementation plan for process improvement, chart conversion, installation, data conversion, system build, testing, training and other aspects of eCW implementation.
  • Assists with high-level eCW troubleshooting in conjunction with IT, billing, eCW Tech/Resources when needed. Provides input on impact to clinical operations and helps to determine the need for escalation of high impact/risk tickets. Identifies and assists in determining work-arounds when features or processes are not working.
  • Leads the training team to implement training for new EHR applications or upgrades.
  • Coordinates new hire and follow-up eCW training for providers either with assistance or personally conducted training sessions.
  • Works with all front office, back office and billing trainers to coordinate eCW training efforts for all staff.
  • Leads the developments of EHR training modules for all functions (providers in all specialties, medical staff, front office staff, billing staff).
  • Provides on-going training support to include audits of use of EHR and creates targeted training for all individuals or groups as necessary to support business goals.
  • Adheres to and supports HIPAA privacy and security rules, as well as other company policies at all times.
  • Provides routine status and project reports to management and coworkers as needed.
  • Other duties as assigned.

Qualifications:

  • Minimum of 2 years experience in a leadership, management, or supervisory role, including 5 or more years working with EHR software
  • Knowledge of best practices related to EHR use in a clinical setting and operational/billing functions, as well as knowledge of different learning styles and methods of training
  • Ability to research and test new EHR software functions and software programs that interact with the EHR
  • Must be able to work within a team, meet deadlines, work under pressure and communicate professionally in both verbal and written forms.
  • Requires professional representation with the ability to organize and prioritize incorporating strong administrative skills to include both written and verbal communication skills. Experience with project management preferred.
  • An aptitude for computer programs and software with experience using various Microsoft office products. Experience with Helpdesk support software, SQL, java, xml, and HTML are favorable.
  • Naturally possess a positive, helpful and friendly attitude. Must be able to work within a team, meet deadlines, perform well under pressure, and project dedication to excellent customer service and superior performance.
  • Patient accounts and complete medical charts will be in full access to the EHR Manager on a daily basis and as needed to complete the job and handle EHR issues. HIPAA compliance is mandatory.
